Leaves and Events Page in Manager Mode

The Leaves and Events page in manager modei ncludes four main sections: Leaves and Events, Requests for Approval, History, and Planner. These sections can be navigated through the top menu.


Attention! To view the "Leaves and Events" page as described on this page, ensure that you have switched the platform context by accessing the manager mode.


Managers accessing the Leaves and Events page will see data related to the users they manage. Managers with the Owner and HR Manager, roles, having access to all users in the Papervee workspace, will see data about all of them. Managers who have an employee role but are operational managers of other employees will see only those respective employees.


Leaves and Events


Information on this page can be filtered using the top filters. You can view information for a particular month. To select the desired month, use the left and right arrow buttons. The calendar can be filtered by entering an employee's name in the search bar. Additionally, by checking or unchecking the "Include collaborators/Freelancers" condition, you can display or hide employees who are marked as "External collaborators"


The central calendar can be exported in PDF format using the "export" button (PDF file symbol).


The central calendar on this page displays the company employees, their leave days, and events for the selected month. Leaves and events are represented by 1-3 letter abbreviations. The colors represent the status of the requests:


Yellow color- represents a "pending approval" request. This can be approved or rejected by a manager.


Green color - represents an "approved" request. This comes into effect but can be rejected by a manager.


There are six predefined abbreviations in the Papervee system. These are:


VC - represents a vacation day;


SL - represents a medical leave day;


PL -  represents a parental leave day;


UL - represents an unpaid leave day;


BT - represents a delegation event;


LOA - represents a leave of absence.


Other abbreviations for different types of leaves and events are set by the workspace administrators.


Clicking on a request in the calendar, you can see the following information:


Period - indicates the range of days for which the request was created.


Number of days requested - indicates the number of days included in the request, excluding non-working days (e.g., weekends in certain cases) or public holidays.


Duration - indicates the time duration of the request. This applies only to events where a duration interval is specified.


Reason - indicates the reason provided by the employee for the respective request.


Selected Day - indicates the day selected through the calendar interface.


On the same day as - indicates other employees who have requests on the same day (selected day).


In the same period as - indicates other employees who have requests that overlap at least one day with this period.


Actions - in the case of "pending approval" requests, you can approve or reject the request, and in the case of already "approved" requests, you can reject the request, canceling it.


Statistics


The statistics section is an informative section on the leave page in manager mode. 


Information in this section can be filtered using the top filters. You can view information for a specific month or year. To easily navigate between selected periods, use the left and right arrow buttons.


This section contains 5 informative sections:


Sick rate (%) - indicates the percentage of days spent by employees on medical leave from the total working days in the selected period.


Calculation method for sickness rate

Total days of sick leave of all employees in the selected period / No. of working days in the selected period.
No. of working days in the selected period = Total number of working days * No. of Employees - Total days of leave. Total days of leave include rest leave, unpaid leave, or any other type of leave except sick leave.


Absenteeism rate (%) - indicates the percentage of days spent by employees on leave from the total working days in the selected period.


Calculation method for absenteeism rate

Total days of (Medical leave + unpaid leave + Rest leave) / Total working days in the selected period.
Total working days in the selected period = No. of working days in the selected period * No. of Employees


Sick leave days (days) - indicates the absolute number of approved sick leave days in the selected period.


Rest leave days (days) - indicates the absolute number of approved rest leave days in the selected period.


Other types of leaves (days) - indicates the absolute number of approved personalized leave days in the selected period.


The graph in this section is a visual representation of the various leave days over the year and includes:


Vacation days- purple color


Sick leave days - yellow color


Personalized leave days - green color


On the vertical axis of the graph, the absolute number of leave days is represented. On the horizontal axis, the months of the year are shown. The graph is a "stacked column chart," with each column representing the sum of various leave days, while also being stratified to allow individual visualization of the different types of leave days.


Requests for Approval


The "Requests for Approval" section contains all the leave and event requests waiting for a manager's approval. These requests will appear in the central tables, which contain the following columns:


Employee - indicates the name of the employee.


Leave type/event type - indicates the type of leave request. This could be a default request from the system such as rest leave, medical leave, child-rearing leave, unpaid leave, delegation, excuse, or a customized type of leave or event.


Submission day -  indicates the day the request was created.


Period - indicates the interval of days for which the request was created.


Duration - indicates the duration of the leave, excluding non-working days (e.g., weekends in certain cases) or public holidays.


Number of requested days - indicates the event's duration in days, excluding non-working days (e.g., weekends in certain cases) or public holidays.


Duration in Time  - indicates the event's duration in days, excluding non-working days (e.g., weekends in certain cases) or public holidays.


Reason -  indicates the reason provided by the employee for the respective leave request.


Actions - here, you find buttons through which you can approve or reject a request. Approving the request will formalize the requested leave. Rejecting the request will delete it.


History


The "History" section contains the history of acted requests and their status in the selected month. In this section, all requests acted upon by a manager appear, including those rejected or deleted. The central table is composed of the following columns:


Employee - indicates the name of the employee.


Type of Leave / Event - indicates the type of leave request. This could be a default request from the system such as vacation leave, sick leave, parental leave, unpaid leave, business trip, leave of absence, or a customized type of leave or event.


Submission Day - indicates the day the request was created.


Periodindicates the interval of days for which the request was created.


Duration - indicates the duration of the leave, excluding non-working days (e.g., weekends in certain cases) or public holidays.


Duration - indicates the duration of the leave, excluding non-working days (e.g., weekends in certain cases) or public holidays.


Duration in Time  - indicates the event's duration in days, excluding non-working days (e.g., weekends in certain cases) or public holidays.


Motiv - indică motivul furnizat de angajat pentru cererea respectivă de concediu.


Status - indicates the status of the request. The statuses can be: 


  • Request approved
  • Request rejected
  • Request deleted
