Activating time tracking via Papervee Virtual Hub and synchronizing a device

To use the Papervee Virtual Hub (PIN) as a time tracking method for users, you need to activate this functionality through the Core HR settings. When Papervee Hub time tracking is activated, the web platform and mobile app time tracking methods become unavailable. Thus, users will be able to use only the Papervee Virtual Hub (PIN), Papervee Hub (RFID), QR code scanning, or manual time tracking.


Users with an approved telework request will still be able to use all available time tracking methods, including the web platform or mobile app.


Attention! Only the Owner user or HR Managers with HR Flow rights and access to company settings can activate this time tracking method.


Activating Time Tracking through Papervee Virtual Hub


To activate time tracking via Papervee Virtual Hub, follow these steps:


  1. Navigate to the settings page via the left menu.
  2. Access the “Papervee Hub” section by selecting the corresponding category on the left.
  3. Check the “Time Tracking via Papervee Hub” setting.


This setting must be active to use devices configured with the Papervee Virtual Hub.


Synchronizing a Device with the Papervee Virtual Hub System


The first 9 steps of the following guide can be done on any device with access to the desktop version of the Papervee web platform. Steps starting from number 9 must be done on the device you wish to access the Papervee Virtual Hub on. To synchronize a device with the Papervee Virtual Hub system, follow these steps:


  1. Navigate to the settings page via the left menu.
  2. Access the “Papervee Hub” section by selecting the corresponding category on the left.
  3. In the “Devices” section, click the “Manage Devices” button.
  4. Here you will see a list of created Papervee Hub and Papervee Virtual Hub devices.
  5. Click the “Add Device” button.
  6. Select the “Papervee Virtual Hub” option.
  7. Enter a suggestive name for the device.
  8. Click the “Save” button.
  9. On the desired device, access the URL https://hub.papervee.com using a browser window.
  10. Enter the code from the synchronization completion modal in the synchronization code boxes that appear on the device. Note, you need to match upper and lower case letters.
  11. Click the “Synchronize” button.


Congratulations! After these steps, the main Papervee Virtual Hub menu with the user list will appear.


If you need to resynchronize a device, follow the steps above up to step 4, click the resynchronization button next to the desired device, and follow the steps from step 9 again using the modal that appears.


You can change the name of a device using the edit button (pencil symbol) from the modal at step 4.


To delete a device from the device list, use the delete button (red trash can symbol) in the same location.


Settings for Papervee Virtual Hub Devices


In the equipment modal from step 4, you can access device settings. In this settings section, you can activate user access to the following functionalities:

  • Adding leave requests
  • Adding event requests
  • Viewing time history
  • Viewing history of leaves and events
  • Viewing work schedule
  • Setting the minimum duration between actions


The above functionalities can be accessed by users on the Papervee Virtual Hub by visiting the "my profile" page.


The minimum duration between clocking actions represents the waiting time required between starting and ending a time tracking entry or starting a time tracking entry and entering a break time tracking. This is at least one minute but can be set to a higher value.
