Activating time tracking with Papervee Hub and registering a device

To use Papervee Hub (RFID) as a time tracking method for users, you need to activate this feature through Core HR settings. Once time tracking through Papervee Hub is activated, time tracking methods via the web platform and mobile app become unavailable. Thus, users will only be able to use time tracking through Papervee Hub (RFID), Papervee Virtual Hub (PIN), QR code scanning, or manual time entry.


Users with approved remote work requests can still use all available time tracking methods, including those through the web platform or mobile app.


Attention! Only the Owner user or HR Managers with HR Flow rights and access to company settings can activate this time tracking method.


Activating time tracking with Papervee Hub


To activate time tracking via Papervee Hub, follow these steps:


  1. Navigate to the settings page through the left menu.
  2. Access the "Papervee Hub" section, selecting the corresponding category on the left.
  3. Check the "Time Tracking via Papervee Hub" setting.


Only if this setting is active, you will be able to use Papervee Hub devices.


Registering a Papervee Hub Device


The first 9 steps of the following guide can be performed on any device with access to the desktop version of the Papervee web platform. Steps from 9 onwards should be done on the Papervee Hub device. To synchronize a Papervee Hub device, follow these steps:


  1. Navigate to the settings page through the left menu.
  2. Access the "Papervee Hub" section, selecting the corresponding category on the left.
  3. In the "Devices" section, click the "Manage devices" button.
  4. Here you will see a list of created Papervee Hub and Papervee Virtual Hub devices.
  5. Click the "Add device" button.
  6. Select the "Papervee Hub" option.
  7. Enter a suggestive name for the device.
  8. Click the "Save" button.
  9. Start the Papervee Hub device. Make sure it is connected to power and the internet (either through LAN cable or Wifi).
  10. Enter the code from the synchronization completion modal in the synchronization code boxes on the device.
  11. Click the "Synchronize" button.
  12. After seeing the success message, click the "Main Screen" button.


Congratulations! After these steps, the main Papervee Hub menu will appear.


If you need to resynchronize a device, follow the above steps up to step 4, press the resynchronization button next to the desired device, and using the modal that appears, follow the steps from step 9 again.


You can change the name of a device through the edit button (symbol: pencil) in the modal from step 4.


Deleting a device from the device list is done from the same location using the delete button (symbol: red trash can).


Settings of Papervee Hub Devices


In the equipment modal from step 4, you can access the device settings. In this settings section, you can activate user access to the following functionalities:

  • Adding leave requests;
  • Adding event requests;
  • Viewing time history;
  • Viewing leave and event history;
  • Viewing work schedule;Vizualizarea programului de lucru;
  • Setting the minimum duration between actions.


The above functionalities can be accessed by users on Papervee Hub by going to the "my profile" page.Funcționalitățile de mai sus se pot accesa de către utilizatori pe Papervee Hub prin accesarea paginii ”profilul meu”. 


The minimum duration between actions represents the necessary waiting time between starting and ending time tracking or starting time tracking and entering a break time tracking. This is at least one minute but can be set to a higher value.
