Papervee Projects structure and usage

Papervee Projects is a platform through which you can manage work time on various company projects. Additionally, you can track the financial value attributed to the work time spent on projects or even the total estimated value for a project. Thus, with Papervee Projects, you can generate reports reflecting the time invested in a certain period in various company projects and the value obtained from this work.


This can be used for monitoring team activities, generating activity reports, and obtaining the necessary data to compile accurate invoices.


Structure of Papervee Projects


Papervee Projects is composed of 4 structural elements on which time recording and reporting can be done. These are: clients, projects, teams, and sub-projects.


Clienți


The client is a folder that can encompass multiple projects. This element is used for grouping projects based on the final beneficiary of the work performed.


For instance, a service-providing company can create a "client" element for each client or partner for whom services are rendered. Or, if the work is done for the benefit of the company itself, the "client" element can be the company itself.


Characteristics that define the "client" element are:


Name - indicates the name of the client.


Status -  indicates whether the client is archived or active. If a client is archived, all associated projects will be archived. Archived clients will not appear in the reporting area and associated projects cannot be unarchived.


Projects - indicates the number of projects associated with the client.

Projects


The base for project time tracking is the project element. Users can directly record time on this element. A project can belong to a client or be independent of any client. Also, a project can encompass multiple sub-projects.


At least one active project is required to make project time tracking possible.


Characteristics that define the "project" element are:


Project Name - indicates the name of the project.


Client - indicates the client to which the project is assigned. "-" indicates that the project is not assigned to any client.


Status -  indicates whether the project is archived or active. Archived projects will not appear in the reporting area and will not accept new time entries from the moment of archiving.


Recurrence - indicates if a project is monthly or weekly recurring. "Non-recurring project" indicates that the project is not recurring. If a project is recurring, the current period of recurrence will appear in the recurrence column.


Billing - Indicates whether a project is billable or non-billable. If a project is billable, this column will indicate whether a fixed fee or an hourly fee is assigned to the project and its value.


Visibility - indicates whether a project is public or private. Any user can record time on a public project, while only members of the project team can record time on private projects.

Teams


Each project can be assigned a team, consisting of users with access to Papervee Projects.


In the case of a public project, any user with access rights in Papervee Projects can access the project data and can record time on it.


In the case of private projects, only team members will have access to the data associated with that project, only they will be able to manage the respective data, and only they will be able to add new time entries on the project. An exception to this rule are users with the Administrator role in Papervee Projects.


Team members can have two roles in relation to the project:


Member - They will be able to record time on the project but will not have the right to view or manage project-related data.


Team Manager - They will see and can manage all data related to the project.

Sub-projects


Sub-projects are elements subordinate to projects. A sub-project will always be associated with a single project and implicitly with the client associated with it (if applicable). Multiple sub-projects can be assigned to a project. Time recorded on sub-projects accumulates in the time tracked on the main project.


Characteristics that define the "sub-project" element are:


Name - indicates the name of the sub-project.


Estimated Time - indicates the estimated time needed to complete the sub-project.


Progress - indicates the time tracked on the sub-project and the completion rate of the set time estimate.


Sub-projects associated with a project can be in two distinct categories, incomplete or complete. If a sub-project is marked as "complete," no more time can be recorded on this project.
