Reports in Papervee Projects

Reports in Papervee Projects summarize all the information from the sub-platform and provide an overview of both the time spent by team members on various tasks and clients, as well as the financial value obtained through this time.

Attention! Reports in Papervee Projects can only be accessed by users with administrator rights in the Papervee Projects sub-platform and the Owner user.

Reports Page

You can navigate to the Reports page by accessing the Papervee Projects sub-platform and navigating to the page using the left menu. If the "Reports" option does not appear in the left menu, you do not have the necessary rights to access this page.

The page can be divided into 5 different zones:

Horizontal Navigation - located at the top of the page, providing access to the main report section and the saved reports section.

Papervee Projects Filter - This area contains filters to configure and view different reports. Additionally, it includes time filters, the save function, and the export function.

Report Chart - This is the graphical representation of the generated report. The vertical axis shows the sum of tracked time, and the horizontal axis shows the dates of time tracking on the project. Sliding over the columns in the chart provides additional information about the time entries. The color of the columns indicates the billability of the recorded time, with dark purple representing billable time and light purple representing non-billable time. Clicking on the legend in the top right corner of the chart allows you to eliminate and include types of time.

Time Tracking Timeline - Here, users' time entries are displayed with more details. Information can be grouped by project, user, or client. The table displays the total duration for the chosen groupings and the total value of the recorded time (except in cases involving multiple currencies, where the value will not display on the groupings, but only on individual entries). Clicking the arrow to the left of a group expands it, revealing more details, such as the user's name, entry day, entry interval, attached description, project name, client, and subproject.

Information Summary - Located in the bottom right of the page. This section includes the total added time, related to the chosen filtering, total billable hours from this time and their percentage of the total, and the financial value associated with this time. If the time was represented in multiple currencies, they will appear separately and will not be cumulative.

Filtering Reports

To obtain the desired report, it is necessary to filter the results. Depending on needs, two categories of filters can be used:

Time-Based Filtering - Using the calendar button and the left-right arrows on the right side of the filter section, you can choose the exact period for which you wish to display information in the report. The arrows will navigate through different periods depending on the length of the period selected through the calendar. If the calendar selection is 30 days, the arrows will navigate intervals of 30 days. If the selection is for the current day, the arrows will navigate one day at a time. The calendar has some predefined selections, such as today, yesterday, this week, last week, this month, last month, the last 30 days, the last 60 days, the last 90 days, and this year.

Element-Based Filtering - Through this filtering, you can choose among team members, clients, projects, and billability. Filtering by team member, billability, and projects works independently, not affecting the options in other filters. If a client is selected in the client filter, all projects for that client will be selected automatically, but through the project filter, other projects that do not belong to that client can be chosen.

Saving a report and saved reports

If you want to frequently access a report, you can choose to save that report. By saving the report, you will save all selected filters, both element-based and time-based. Attention, time-based filters will always maintain their form. In this sense, if a saved report uses the "last 30 days" time filter, it will always display the last 30 days and not a fixed period. If you want to save the report for a fixed period, you need to manually select that period using the calendar.

To save a report, follow these steps:

  1. Access the Reports page through the left menu in the Papervee Projects sub-platform.
  2. Set the desired filters.
  3. Apasă pe butonul de salvare din partea dreaptă a rubricii de filtre (simbol: dischetă floppy);
  4. Enter a suggestive name for the saved report.
  5. To finalize, click the "Save" button.

Saved reports can be found on the saved reports page. You can navigate there using the horizontal navigation at the top. This page displays all saved reports, the people who created them, and the date they were created.

Saved reports can be deleted using the delete button (symbol: red trash can).

To access and view a saved report, click on the desired report's name. This action will open the page of the saved report. The filters applied in the saved report can be viewed but not modified. The saved report can be exported using the export button in XLS format.

Exporting a report

Reports from Papervee Projects can be exported in XLS format. To export a report, click on the "Export XLS" button (symbol: Excel file). Choose the data you want to include in the report. These can be:

  • Serial No.;
  • Name;
  • Username/Email;
  • Client;
  • Project;
  • Sub-project;
  • Description;
  • Date;
  • Start Time;
  • End Time;

The report will be exported in a tabular format with a row for each time entry. Additionally, the exported report will include the following calculated metrics:

  • Billable Duration;
  • Non-billable Duration;
  • Total Duration;
  • Billable Quantity (h);
  • Non-billable Quantity (h);
