Generating and managing the individual employment contract

With Papervee, you can generate an individual employment contract for your employees with just a few clicks. The contract generation is based on a template. Your Papervee account contains two default templates for the individual employment contract, but you also have the option to create and activate multiple templates whenever you want.


Attention! Only HR Manager users with "access to contractual data" rights and the Owner user have access to these functionalities.


Generating the individual employment contract


Before attempting to generate an individual employment contract, ensure that you have the contract template ready. If you don't have a prepared template, create a new one by following these steps..


To generate an individual employment contract, follow these steps:



  1. Access the "Employees" page through the left menu.
  2. Access the desired employee's digital profile by clicking on their name or the edit button (symbol: pencil).
  3. Navigate to the "Contractual Information" section.
  4. Ensure that all contractual information fields are completed. These can only be modified by clicking the "Modify data" button.
  5. Press the "Generate contract" button.
  6. In the modal that appears, choose the template on which you want to generate the individual employment contract.
  7. Press the "Preview" button.
  8. Check the generated contract to ensure that the data matches and contains all the desired information.
  9. To finalize, press the "save contract" button.


Congratulations! The saved contract will be found on the right side of the employee's digital profile in the "Contractual Information" section under the "Contract History" section. Additionally, the generated individual employment contract will be saved in the user's document folder, in the "contractual documents" section, under the "Contract" category. The PDF file of the individual employment contract can be downloaded from both described locations.


Deleting the individual employment contract


To delete an individual employment contract generated through Papervee, follow these steps:


  1. Access the "Employees" page through the left menu.
  2. Access the desired employee's digital profile by clicking on their name or the edit button (symbol: pencil).
  3. On the right side, in the Contract History section, identify the entry describing the generation of the employment contract.
  4. Press the delete button (symbol: trash can).
  5. Check the statement "The employment contract will be deleted along with the entry". If you choose not to check this statement, the PDF document will not be deleted, only the entry from the history.
  6. To finalize, press the "Delete" button.


Terminating the individual employment contract


Terminating the employment contract will introduce an entry in the employee's contractual history with this detail. This operation does not result in archiving the user from the Papervee platform..


To terminate an employment contract, follow these steps:


  1. Access the "Employees" page through the left menu.
  2. Access the desired employee's digital profile by clicking on their name or the edit button (symbol: pencil).
  3. Press the "Terminate contract" button.
  4. In the modal that appears, select the termination date.
  5. To finalize, press the "Save" button.
